NEW Vendor Setup Steps:
Please make sure to follow and submit each step carefully.

Please fill out the New Vendor Survey. This is the first step to get you set up in our systems.

You must sign up for MarketTime in order to receive orders electronically. Please review the linked onboarding guide which details how the system works and pricing structure based on your needs.

SKU PRODUCT FILE:
Please refer to the SKU Product File template. We will need to upload this file into our system in order to start writing orders for your line. The template is the only format that works with our system and needs to be followed precisely.
An initial comprehensive file, seasonal changes, as well as updates on items being discontinued should be emailed to Christale and Jess.

A PDF of your sales materials (catalog, line list and price list) will need to be sent to the Keena office. From there, we will disseminate them to reps and upload on our web-links.
Please email low-resolution PDFs of your sales materials to Michelle (michelles@keenaco.com). Please be sure to send updates whenever a new version is available. This is especially important at the start of each season.

At the beginning of each season, please be prepared to send printed sales materials to each of our reps (about 20 copies each) and to each show and showroom locations (about 50 copies each). Catalogs and price lists should always be collated.
Please contact Fabian (Fabian@keenaco.com) to confirm shipments are on their way.

Please add the Keena reps’ contacts to your catalog, website, e-blasts, flyers or other marketing materials. See the Keena “Alpha List” for individual rep info.

Unless you are updating inventory info directly into MarketTime, inventory updates should be shared with the reps as often as necessary via email. This is vital information that they need to communicate to their accounts. All inventory information shared via email is saved to our shared Keena Drive folder for reps to reference. Depending on how often your inventory levels fluctuate, these reports should be sent out either weekly or bi-weekly.

Send links to press mentions or images to Michelle. These may be used for our website, our social media, at trade events, or at reps’ appointments with clients.

Please send a list of contacts with names, phone numbers, email addresses and job titles to Fernanda.

Monthly commission reports and payments must be sent to Keena by the 15th of each month. Please follow the attached template. SEND A COMMISSION REPORT
Commission reports and related communication should be sent to commissions@keenaco.com.

Please forward a list/spreadsheet containing top-selling SKUs and descriptions to Michelle.

If you haven’t yet, please forward an updated account list for all active customers in the Keena territory. Please include date of last order, current terms, full contact info (email address is very important), and as much order history as possible (LY and YTD ideally).

SHOWROOM PREPARATION
If Keena is showing your line at our showrooms and shows, you will be expected to send samples and catalogs to each location (Las Vegas and Oakland). Your presence at these shows, to work with customers and with reps, is highly encouraged. Show and showroom participation fees will be assessed a few months before the actual show dates. The fees will vary depending upon placement and square footage of your line on each show/showroom.

Our road team will try their very best to keep direct orders to a minimum. However, we will need visibility to all directs and show orders in order to follow up with customers. Please forward copies of all directs as soon as they are sent to you to info@keenaco.com.

Please forward a copy of your company’s W9 and product liability insurance naming Keena as an additional insurer ($1M per occurrence) to Adriana.
